HIGHLIGHTS

OneSpan Sign for Greenhouse is an out-of-the-box eSignature integration with Greenhouse Recruiting. This integration allows you to manage the document signing process directly within your Greenhouse application, improving the user experience for job candidates and employees as well as for your HR team. The integration boosts efficiency and productivity, and helps streamline compliance.

Overview

With OneSpan Sign for Greenhouse, you can solve business challenges such as:

  • Time-consuming processes: Inefficiencies and manual steps complicate HR tasks that require signatures.
  • Delays in employee hiring and onboarding: Traditional employee onboarding and hiring processes involve cumbersome paperwork. Paper processes are time-consuming, pose security risks to the business, and create a bad first impression among future employees.
  • Human errors in document handling: Manual processes introduce errors, such as misplaced documents or missing signatures, and increase the risk of non-compliance due to lapses in document management.
  • Inadequate auditability: Complex workflows may also introduce compliance concerns, especially in regulated industries. Manual operations increase the risk of non-compliance due to errors or lack of oversight in document management.

How it works

  • The document signing process is launched automatically when you complete specific actions in Greenhouse. For example, you can initiate a document signing request at any stage of the recruitment process or when an offer has been approved.
  • The integration collects the candidate’s information and the offer letter. It creates a new OneSpan Sign eSignature package, which is automatically delivered to the candidate via email.
  • The candidate receives an email with a link to the OneSpan Sign signing ceremony page. On this page, the candidate can review and sign the documents. During the initial setup of the OneSpan Sign integration, you can customize the signing ceremony page to match your company’s branding.
  • Once all required signatures are captured, the document is automatically marked completed.
  • The OneSpan Sign transaction identifier is added to the candidate’s offer, and the signed PDF and Evidence Summary report are bundled in a single zip file under the Offer Documents section of the process.
  • Your organization can audit the entire signing process, including who signed the document, when it was signed, and any modifications made.  This comprehensive audit trail provides transparency and accountability, helping your organization demonstrate compliance during audits or deter legal disputes.
