HIGHLIGHTS

OneSpan Sign for Microsoft is an out-of-the-box eSignature integration with Microsoft applications such as SharePoint Online, Dynamics 365, and OneDrive. These integrations modernize the document signing process, enhance user experience, increase productivity, and simplify compliance.

Overview

With OneSpan Sign for Microsoft, you can solve business challenges such as:

  • Complex and time-consuming workflows

Inefficiencies and bottlenecks are present in many business processes. Partially digitized workflows are especially inefficient because they start out digital, but then involve time-consuming manual steps and/or switching between applications to get the job done.

  • Document handling errors

Manual steps like printing documents, filling them out, and chasing people for signatures are tedious and prone to errors, from misplaced documents to incomplete or missing information.

  • Inadequate auditability

Complex workflows may also raise compliance concerns, especially in regulated industries. Manual operations increase the risk of non-compliance due to errors or oversight in document management.

How it works

  • The document signing process is automatically launched when you complete a specific action directly within the Microsoft application. For example, when you upload a document to a specific folder in SharePoint and add a new row with customer details to a SharePoint List. Or, in Dynamics 365, when you update the opportunity stage, that launches the document signing process and the document is sent for signature.
  • Recipients access the document securely and eSign it.
  • Once all required signatures are captured, the document is automatically marked completed.
  • The signed document is automatically stored within the selected Microsoft application. For example, signed contracts can be stored in SharePoint Online, customer agreements are stored as attachments to the opportunity in Dynamics 365, or signed forms in OneDrive. This automatic document management eliminates the need for manual uploading and ensures that all signed documents are securely stored within familiar Microsoft environments.
  • Organizations can audit the entire signing process, including who signed the document, when it was signed, and any modifications made.
  • This comprehensive audit trail provides transparency and accountability, helping organizations demonstrate compliance during audits or deter legal disputes.
